Morgan Corporation currently has an exciting opportunity for a Customer Service Coordinator in the Parts Department at our Parts and Service Center in Denver, CO.  The Customer Service Coordinator - Parts will coordinate and oversee quoting of all part quotes and sales. The role is also responsible for administrative duties as needed in the Service Office. KEY DUTIES & RESPONSIBILITIES:  Answer phones calls in a timely manner: return calls promptly. Work closely with other Service Centers representatives, Service Managers, Warranty and RSM providing customer service support at all levels. Respond promptly providing quotes, customer support, invoices, order changes and customer complaints Maintain accurate paperwork / paper flow to achieve the revenue and profitability of the department. Process Quotes and edit for accuracy. Assist with follow-up of estimates with customers. Enter customer parts orders as received.  Review backorders.  Confirm system information will generate re-order. Prepare paperwork for freight pickup through Morgan’s transportation company. Establish and maintain MRP.  Review safety stocks.  Review MRP daily, purchase parts as needed. Enter and follow up on Purchase Orders with vendors.  Accuracy imperative. Maintain A/R and A/P reports.  Researching and making corrections or contacts with customers and/or vendors as needed. Organize and file all Service related paperwork (quotes, work orders and labor reports). Maintain an organized and professional environment for the reception of customers and visitors to the service office. Inform Service Manager of conditions needing repairs or attention. Process all incoming and outgoing mail, pre-code all bills with the appropriate account number and forward to the Service Manager for approval. Perform daily receiving of material. Research and resolve all billing related issues, seek the help of the estimator when needed. Work with the credit department to establish new customer accounts, ensuring that all of the needed information is given. Improve communication with internal and external customers by development and maintenance of systems reporting. Provide assistance to service and other department personnel including regional facilities, concerning changes with forms or systems as it relates to Service. Schedule needed repairs to office equipment and keep service contracts for office equipment up to date. Maintain stock of all needed office supplies, within budgeted guidelines. Provide customer base and other departments with job status and activities relating to the Service function as requested. Communicate pertinent information concerning credit, opportunities or problem situations to appropriate personnel with follow-up to Service Manager. Submit PTO requests for day off, 24 hours prior to one day off, and 5 days prior to multiple days off. Assist in the scheduling, overseeing and direction of workload for part-time help. Assist Service Manager by taking and processing minutes of specified meetings when applicable. Work with systems department to upgrade and maintain reporting as needed for service. Provide administrative support for special projects at the request of the Service Manager. Marketing efforts via cold calls/follow up to online inquiries. Comply with all company and OSHA safety regulations. Assist in providing a safe environment for all employees. Secure cash, office supplies and material daily. Assist with the annual physical inventory for Parts and Service Department. Maintain cycle count accuracy reports. Other duties, as assigned.
